About You:
We are looking for a professional, friendly, and adaptable Receptionist to join our busy medical practice.
As the first point of contact, you will create a welcoming environment while managing appointments, handling scheduling changes, and keeping daily operations running smoothly. You are organized, detail-oriented, and confident using various computer systems, including scheduling tools and Excel.
You remain calm under pressure, handle multiple tasks with ease, and treat all patients with kindness and professionalism—even in challenging situations. Strong communication skills, in person, written and over the phone, are essential.
This is a dynamic role that goes beyond the front desk. You will move throughout the practice to support clinical operations, including handling patient files and restocking rooms. You work well within a team and are confident enough to communicate clearly and assertively with colleagues and doctors when needed.

Responsibilities:
- Greet Patients and Visitors: Welcome patients and visitors in a friendly and professional manner, offering assistance as needed.
- Schedule Appointments: Coordinate, reschedule, and cancel appointments, ensuring efficient use of healthcare provider’s time and resources.
- Answer Phone Calls: Handle incoming calls, address inquiries, and provide information on services, appointment availability, and clinic policies.
- Check-In and Check-Out: Register patients, collect payments, and ensure accurate documentation of patient information in the electronic health record (EHR) system (Socrates & Power Diary).
- Administrative Support: Perform administrative tasks, including filing, paperwork, sorting mail, and managing office supplies.
- Coordinate Referrals: Facilitate referrals to specialists or other healthcare providers as needed.
- Respond to Patient Inquiries: Address patient questions, concerns, and complaints professionally, escalating complex issues when necessary.
- Collaborate with Medical Staff: Communicate effectively with healthcare professionals to ensure coordinated patient care.
- Maintain Reception Area: Ensure the reception area is tidy and welcoming for patients and visitors.
Requirements:
- 10+ years’ experience in a receptionist or similar role
- Full-time position, 40 hours per week.
- Proficiency in Microsoft Office (including Excel) and Practice Management software (experience with Socrates is a plus).
- Strong communication and interpersonal skills with the ability to interact professionally with patients, visitors, and staff.
- Excellent organizational skills, attention to detail, and the ability to multitask and prioritize tasks.
- Basic knowledge of medical terminology and healthcare administrative procedures is desirable.
- Commitment to maintaining patient confidentiality and adhering to privacy regulations (e.g., HIPAA, GDPR).
