Responsibilities:

  • Greet Patients and Visitors: Welcome patients and visitors in a friendly and professional manner, offering assistance as needed.
  • Schedule Appointments: Coordinate, reschedule, and cancel appointments, ensuring efficient use of healthcare provider’s time and resources.
  • Answer Phone Calls: Handle incoming calls, address inquiries, and provide information on services, appointment availability, and clinic policies.
  • Check-In and Check-Out: Register patients, collect payments, and ensure accurate documentation of patient information in the electronic health record (EHR) system (Socrates & Power Diary).
  • Administrative Support: Perform administrative tasks, including filing, paperwork, sorting mail, and managing office supplies.
  • Coordinate Referrals: Facilitate referrals to specialists or other healthcare providers as needed.
  • Respond to Patient Inquiries: Address patient questions, concerns, and complaints professionally, escalating complex issues when necessary.
  • Collaborate with Medical Staff: Communicate effectively with healthcare professionals to ensure coordinated patient care.
  • Maintain Reception Area: Ensure the reception area is tidy and welcoming for patients and visitors.

Requirements:

  • Full-time position, 40 hours per week.
  • Proficiency in Microsoft Office (including Excel) and Practice Management software (experience with Socrates is a plus).
  • Strong communication and interpersonal skills with the ability to interact professionally with patients, visitors, and staff.
  • Excellent organizational skills, attention to detail, and the ability to multitask and prioritize tasks.
  • Basic knowledge of medical terminology and healthcare administrative procedures is desirable.
  • Commitment to maintaining patient confidentiality and adhering to privacy regulations (e.g., HIPAA, GDPR).
