Role: Client Services & Scheduling Administrator

Salary: €40,000 – €45,000
Duration: Full-Time, Permanent
Location: Clondalkin (On-Site, Monday to Friday)

Highly organised and customer-focused Client Services & Scheduling Administrator required for a busy and well-structured operational team based in Clondalkin. This position is ideally suited to someone coming from a receptionist, medical practice, or front-desk background where managing appointments, handling customer interactions and coordinating diaries are core responsibilities. The role requires a high level of organisation, professionalism and the ability to manage multiple priorities while delivering a consistently excellent customer experience.

The successful candidate will play a central role in coordinating daily operations, acting as the first point of contact for customers while ensuring that all scheduling and administrative processes run efficiently. This position involves managing a high-volume booking system, similar to a clinic or doctor’s office, where accuracy, attention to detail, and proactive planning are essential. Strong communication skills are critical, as the role involves liaising with business customers, internal departments and ensuring that all relevant information is captured and shared effectively. A proactive approach is key, with a focus on maximising scheduling efficiency and maintaining smooth day-to-day operations.

Responsibilities:

  • Manage and maintain a high-volume scheduling system, ensuring all appointments are efficiently coordinated
  • Proactively identify and fill gaps within the schedule to maximise operational capacity
  • Deliver a professional front-of-house experience, similar to a medical or clinical receptionist role
  • Handle incoming calls, emails and customer enquiries in a timely and professional manner
  • Accurately capture customer information and service requirements at first point of contact
  • Coordinate diaries and appointments to ensure smooth daily workflow
  • Liaise with internal teams to communicate job details and customer requirements clearly
  • Prepare and issue job cards, quotations and related documentation within set timeframes
  • Monitor and manage quotation processes to ensure service standards are met
  • Process customer payments, including card and cash transactions with full accuracy
  • Support scheduling and rostering activities, resolving conflicts where necessary
  • Maintain high standards of administration, organisation and compliance
  • Deliver a consistently high level of customer service across all interactions

Requirements:

  • Proven experience in a receptionist, administrator, or client services role (medical, clinic, or similar environment highly desirable)
  • Strong diary management and scheduling experience in a fast-paced setting
  • Excellent communication skills with the ability to engage confidently with business customers
  • Highly organised with strong attention to detail
  • Ability to multitask and prioritise workload effectively under pressure
  • Proficient in IT systems, including scheduling or booking platforms and Microsoft Office
  • Experience handling payments and maintaining accurate financial records is advantageous
  • Proactive, solution-driven approach with strong problem-solving skills
  • Professional and customer-focused mindset
  • Ability to work independently while contributing positively to a team environment
